II.2.4) Description of the procurement
This Contract is for the provision of a comprehensive maintenance, repair and inspection service of a range of grounds maintenance equipment for the Council.
The Service shall ensure that all applicable equipment is maintained, repaired and inspected as required to ensure they are of a safe and satisfactory standard for the purpose for which they are intended.
The Service shall include, but not limited to, the following aspects:
inspection, safety checks, servicing, workshop repair, on-site repair, standby arrangements , preparation of service schedules, maintenance of work records, provision of safe custody, care and insurance of equipment whilst waiting for, during and after repair, service or maintenance work, or awaiting collection from same.

II.2.11) Information about options

Description of options:
The Contract shall be effective from the date of award of Contract for an initial period of 3years.
The Council reserves the right to extend/renew the Contract up to a further 2 years. Any extension may be subject to further approval by Council Committee, availability of funding and satisfactory performance of the Contractor.
The Council reserves the right to add the following additional requirements to the Service under this Contract during the Contract Period: -
Other equipment/vehicle/plant maintenance, repair or servicing services provided the Contractor has the capacity and capability to do so.
Additional equipment or types of equipment not currently listed in Annexe 1.
Introduce required changes associated with the Service to the Specification to accommodate changes to the Council’s operational model and working practices e.g. functional re-structuring, new customer hub, etc;
Large scale projects or changes may be subject to price negotiation based on economies of scale. The Council reserves the right to explore/ use other procurement options in all circumstances where VFM is not demonstrated.
The Council reserves the right to add or remove equipment from the Contract in line with the Council’s requirements. Where the Council identifies an additional equipment to be added, the Contractor will be expected to price based on similar equipment/ service tasks priced in the Pricing Schedule.
Any contract variation may be subject to further Council internal approvals and be in accordance with the provisions of the Public Contracts Regulations.
